RENOVO / LEGAL

Privacy Policy

Effective October 5, 2026

What Renovo collects, why, who it is shared with, and how to see, change or delete it. In short: our customers own their data, we use it only to run Renovo for them, and we never sell it.

Who we are

Renovo is software for contractors in construction, renovation, restoration and field service. This policy covers our website at renovoai.app, the Renovo web app at portal.renovoai.app, the Renovo mobile app for Android and iOS, and the customer, vendor and signing portals the app sends links to (together, "Renovo"). Renovo is operated by Taskfleet AI Inc., an Ontario corporation ("Renovo", "we" and "us"), which is the organization responsible, under Canada's PIPEDA, for the personal information under our control (see the next section for information our customers put into Renovo). You can reach us at [email protected].

Our customers' data, and ours

Renovo is used by businesses — our customers — to run their work. When a contractor puts information about their own customers, employees, vendors, jobs or insurance claims into Renovo, the contractor decides what is collected and why, and we process it on their behalf and on their instructions. If you are a homeowner, tenant, adjuster or vendor whose details are in Renovo because a contractor works with you, that contractor is responsible for your information; please contact them first. We will help them answer your request.

We decide how information is used for our own purposes: running accounts, billing our customers, operating and securing the service, and our website.

What we collect

  • Account information. Name, email address, phone number, company name, role and password (stored only as a one-way hash) for people who sign up or are invited to Renovo.
  • Content our customers put in. Customer and contact records, addresses, jobs, estimates, invoices, purchase orders, schedules, timesheets, employee records, insurance claim details, photos, documents, floor plans and room scans, forms, signatures, messages, emails, voice messages and call records.
  • Payment information. Subscriptions, and invoices our customers' clients pay online, are processed by Stripe. Card numbers go directly to Stripe; we never receive or store them. We keep the payment's amount, date, status and the last digits and brand Stripe reports.
  • From the mobile app, only when you allow it. The camera, to scan rooms and take photos; the microphone, for voice messages, the walkie-talkie and calls; and your location, to record where a photo or form was taken and to share it with your dispatcher when you choose. You can turn each off in your phone's settings.
  • Email that comes back to Renovo. Replies to email sent from Renovo, and email sent to a company's Renovo intake or record address, are received by our mail server and filed in that company's account.
  • Technical information. IP address, browser and device type, and logs of requests and errors, which we keep to run and secure the service. Renovo uses a cookie to keep you signed in, and stores display preferences in your browser.
  • From you directly. What you send us when you book a demo, write to us or ask for support.

Our website does not use advertising cookies, analytics or tracking pixels, and we do not track you across other sites.

How we use it

  • To provide Renovo: show our customers their data, send the documents, emails, notifications and reminders they ask it to send, and carry out the payments, signatures and calls they start.
  • To run accounts and billing, and to answer support requests.
  • To keep Renovo secure: detect and stop abuse, fraud and unauthorized access.
  • To fix problems and improve the product.
  • To meet legal obligations, such as tax and accounting records.

We do not sell personal information, we do not share it for targeted advertising, and we do not use our customers' content to train AI models.

Who we share it with

We share information only with the service providers that run parts of Renovo for us, under contracts that limit what they can do with it, and only as much as each needs:

  • Hosting. Renovo's servers and database are in data centres in the United States.
  • Cloudflare — network delivery and protection for our websites.
  • Resend — sending email from Renovo.
  • Stripe — subscription billing and online invoice payments.
  • Push services run by Apple, Google and your browser's maker — delivering notifications to devices that have turned them on.

When a company turns on an optional feature, the information it needs goes to that feature's provider: QuickBooks (Intuit) when a company connects its accounting; AI providers such as Anthropic or OpenAI for AI-assisted features; and SMS and voice providers for text messages and the AI call centre.

Information also goes where our customers send it — an estimate emailed to their client, a bid request to a vendor, a claim package to an adjuster. We may also disclose information when the law requires it, to protect the rights and safety of people or of Renovo, or to a successor if Renovo is sold or merged, under this policy.

How long we keep it

We keep a customer's data for as long as their account is open, so that their records, documents and history stay complete. After an account is closed we delete or anonymize its data within 90 days, except what we must keep for legal, tax or accounting reasons, and copies in backups, which are overwritten on their normal cycle. Technical logs are kept for a limited time.

How we protect it

Connections to Renovo are encrypted. Passwords are hashed, access to each company's data is limited to its members and the roles their company gives them, files can only be opened by members of the company that owns them, and sign-in attempts are rate-limited. No system is perfectly secure; if a breach affects your information, we will tell you and the authorities as the law requires.

Your choices and rights

Depending on where you live — including under Canada's PIPEDA and provincial laws, U.S. state laws such as California's CCPA, and the GDPR — you may have the right to see the personal information we hold about you, correct it, have it deleted, receive a copy, or object to or limit how it is used. Write to [email protected]. We will answer within 30 days, may need to confirm who you are, and will not treat you differently for asking. If your information is in Renovo because a contractor works with you, we will pass your request to them, since it is their record. You can also complain to your local privacy regulator.

Deleting your data

To have your Renovo account and its data deleted, email [email protected] from the address on the account with the subject "Delete my data", saying whether you mean your own login or your whole company's account. We will confirm the request, delete the data as described under How long we keep it, and tell you when it is done.

  • A company owner can also remove employees, customers, files and other records themselves, inside the app.
  • An employee can ask their company's owner or administrator to remove their access, or write to us.
  • If you reached us through Facebook or another social platform and want what we received from it deleted, write to us the same way.

Children

Renovo is a business tool for adults. It is not meant for children under 16, and we do not knowingly collect their information. If you believe a child has given us information, write to us and we will delete it.

Where data is processed

Renovo is operated from the United States and Canada, and our servers are in the United States. Some service providers process information in other countries. Wherever your information is processed, it is protected as this policy describes.

Changes to this policy

If we change this policy we will update the date at the top of this page, and tell our customers by email or in the app before a significant change takes effect.
